1. Personal Data that we process
Optimal Business Action S.A (the "Company" or "us" or "Optimal”), when you submit your CV directly to Optimal in one of the following ways: a. through Optimal’s website, b. via fax, c. via email, d. in a hardcopy form or through third parties, acting on behalf of the company (eg companies that run websites for ads publishing or social business networks), collects and maintains the information contained in your CV, which indicatively mentioned, may be information about your identity (names, date of birth, gender, nationality), contact details (email, info about education, your skills, your professional experience (previous employers, duration of employment, position) and the positions and areas of activities that interest you.
2. Why do we process your data
When you submit your CV, we will collect your data and process it to assess your working abilities and skills and to examine the possibility of cooperation. Your data processing is based on your consent. You can revoke your consent at any time you wish. In this case, we will not be able to look at the possibility of our cooperation.
During an interview with Optimal consultants, we will collect and maintain information contained in your CV and data which you voluntary reveal to us during the interview (such as, professional profile data, info about compensation, reasons for exiting job, achievements, management style, aspirations for your next job, etc) in the most secure way taking all necessary technical and organizational measures in accordance with the applicable legislation on the protection of personal data (679/2016 GDPR).
We never proactively disclose your Personal Data. Your Personal Data remains completely safe with us and we will seek your consent prior to transferring your Personal Data.
3. Recipients and processors of your data
Access to your data may only have our duly authorized employees or business partners acting on our behalf for the above-mentioned processing purposes. In addition, if you respond to an ad for a specific position, your data will be also transmitted to our Customer who is seeking personnel for the above position if you are a shortlisted applicant and, if you give us your consent, to other Customers looking for employees having your profile. We will send your CV to a potential employer with information about your professional profile, only following your consent.
4. Data Retention
We will retain your data for the maximum time period allowed, according to the applicable legal and regulatory framework, as well as for the time period which is necessary for us to serve the purposes of collecting such data. In particular, in order to define the storage period of these data, we take into account the following criteria:
- If your data processing is a legal obligation of our company, which is imposed by the provisions of the applicable legal framework, we will retain your data for as long as it is required by these provisions.
- If the legal basis for processing your data is the conclusion or performance of a contract, we will store your data for as long as it’s necessary to serve the purposes of this contract between us and for as long as it’s necessary in the context of the establishment, exercise or defense of legal claims arising from the above contract.
- For cases where your personal data processing is based on your consent, we will retain your data until you revoke your consent, which may take place freely at any time you wish.
5. Your rights
Our company ensures your rights with respect to processing of personal data and ensures that you may exercise them. You have the right to request:
a. access to your personal data and information about what data we process, the purposes of the processing, the recipients, and the duration of the processing,
b. rectification of your personal data if it is inaccurate or incomplete,
c. deletion of your personal data or transmission to a third party, if the conditions laid down by the national and European legislative framework for exercising those rights are met,
d. restriction of processing of your personal data only for specific purposes,
e. portability of your data, that is to receive the data you have provided in a structured, commonly used format, or request them to be sent to a third party that you specify,
f. revoke at any time your consent to the processing of your personal data (if consent is the legal basis for data processing) by sending an email or written request to dpo@optimalhrgroup.com using the contact details below. In this case, our processing will be interrupted by us, without affecting the legitimacy of any processing until your consent is revoked.
